IACA Website Publishing Policy

INTRODUCTION
The Internet offers many opportunities for IACA to promote itself as well as offer opportunities for collaboration in education, both nationally and internationally. It is, therefore, important that the image presented by IACA's website be positive.
The IACA website is considered an official association publication as well as a membership information source.
This policy is to ensure that the official information published electronically follows the same high standards as other IACA published information. The IACA Board of Directors (Board) shall ensure that a consistent and contemporary design be evident within all sections of the website intended primarily for external viewing.
The Board is ultimately responsible for the implementation and supervision of this policy on behalf of the IACA membership. The Board has delegated the monitoring and implementation of this policy to the IACA Website Advisory Committee (WAC) that is comprised of the President Elect and the Chairs of the Business Organization Section (BOS), International Relations Section (IRS), Information Technology Section (ITS) and Secured Transaction Section (STS).
WAC will recommend to the Board any amendments to this policy.
IACA does not claim ownership of any unauthorized content placed on its website.

I. PURPOSE
The IACA web site is designed for the purpose of promoting and supporting education of its members, sponsors and user community.
The purpose of a website will include, but not be limited to:
1. Communication with the Board, members, associate members, sponsors and those using the e-mail list serves and other services as developed.
2. Statement of IACA's Mission.
3. Information about and from member jurisdictions and associated organizations
4. Conference presentations and other relevant information.

II. PUBLISHING PRIVILEGES
The following individuals or organizations are eligible to publish specific information on www.iaca.org.
1. All IACA Board Members (President, President Elect, 1st Vice President, 2nd Vice President, Treasurer, Secretary, Immediate Past President, 1st Alternate and 2nd Alternate).
2. All section chairs (BOS, IRS, ITS, and STS).
3. Other groups or organizations may be allowed to publish at the discretion of WAC.
4. Any individual or organization with serious or repeated violations of the IACA Website Publishing Policy will have their publishing privileges curtailed or terminated at the discretion of WAC.

III. PUBLISHING GUIDELINES
1. All requests for publication will be submitted by email to a member of WAC. WAC will review these requests for approval prior to publication and reserves the right to make editorial changes. All additions or changes to the web site should be composed as it should appear on the page and emailed to an WAC member at least 2 weeks prior to the date you wish to see the change or addition.
2. All submissions must comply with all applicable laws (e.g. laws governing copyright, intellectual property, libel and privacy).
3. The information must be accurate and complete. It must not violate any policy, rule or regulation of IACA. It must not be used for non-IACA activities.
4. Web pages may not contain any objectionable material or link to any objectionable material. Objectionable material is determined on a case-by-case basis.
5. All requests for additional web pages on the website should be emailed to an WAC member. Details as to the purpose, content and preferred layout of the web page must be included. WAC will give approval for any additional web pages.
6. Advertisements may be permitted as authorized by the WAC, at a fee as set by the Board.
7. IACA reserves the right to require the inclusion or exclusion of specific text or links to a given web page and reserves the right to change the requirements without notification.
8. Authorization for posting to the IACA website by other organizations may be granted at the approval of WAC with the following provisions:
A. IACA can terminate the authorization with or without notice.
B. If the organization provides a link to their organization or another organization, the link must be used for a bona fide business purpose.

    IV. CONTENT GUIDELINES

All material posted on the web page must have the pre-approval of the WAC. WAC is responsible for performing periodic reviews of the website content.
1. All information included in web pages about IACA must:
A. Remain current
B. Avoid duplicating material or content.


2. Text email attachments submitted must be in MS Word note pad text or Adobe Acrobat form. Pictures or images must be provided in either gif or jpg format. These must not be covered by a copyright that prevents it from being published.
3. Photos are published at the discretion of WAC in consultation with the Board.
4. The following information about members, associate members, sponsors or conference attendees may be published on IACA's Web Site:
A. Name
B. Work telephone number
C. Work address
D. Work e-mail address


5. No personal information about IACA's members, associate members, sponsors or conference attendees shall be published without written permission. Submission of the information on a membership or conference registration form is considered written permission. Personal information is defined as information about an identifiable individual, recorded in any form.
6. The website is not to be used as a forum to post grievances or personal opinions, except as provided for on the list serve or chat room.
